Our Terms & Conditions

1. The accommodation contract is considered concluded as soon as the room or conference room has been reserved and confirmed or made available if a confirmation was not possible due to time limitations.

2. The pension agreement is confirmed with the room reservation and valid for the duration of your stay. There is no refund for meals which have not been consumed. A change in the reserved half board plan will take effect on the following day.

3. The following costs will be charged for changes or cancellations of reservations:

For individuals

  • a) up to 30 days before arrival 30 % of the agreed services
  • b) 29 to 21 days before arrival 50 % of the agreed services
  • c) 20 to14 days before arrival 70 % of the agreed services
  • d) 13 to 7 days before arrival 80 % of the agreed services
  • f) 6 to 0 days before arrival 100 % of the agreed services

For groups (from four rooms) & convention visitors

  • a) up to 180 days before arrival 30 % of the agreed services
  • b) 179 to 90 days before arrival 50 % of the agreed services
  • c) 89 to 30 days before arrival 70 % of the agreed services
  • d) 29 to 14 days before arrival 80 % of the agreed services
  • e) 13 to 7 days before arrival 90 % of the agreed services
  • f) 6 to 0 days before arrival 100 % of the agreed services

These terms also apply to an early departure.  As a general rule, the hotel will aim to reallocate the rented space to another party. If successful the original guest will not be charged.

4. Repudiation by Hotel

a) To the extent that a right of cost-free cancellation within a certain period was agreed in writing for the customer, the hotel is entitled for its part to cancel the contract during that period of there are inquiries from other customers regarding the contractually reserved rooms and the customer does not waive his right of rescission upon inquiry thereof by the hotel.

b) If an agreed advance payment or an advance payment demanded is not made, then the hotel is likewise entitled to cancel the contract.

c) Moreover, the hotel is entitled to effect extraordinary cancellation of the contract for a materially justifiable cause, e.g. if

  • acts of God or other circumstances for which the hotel is not responsible make it impossible to fulfil the contract;
  • rooms are reserved with misleading or false information regarding material facts, such as the identity of the customer or the purpose;
  • the hotel has justified cause to believe that use of the hotel’s services might jeopardize the smooth operation of the hotel, its security or public reputation, without being attributable to the hotel’s sphere of control or organization; 

d) The customer can derive no right to compensation from justified cancellation by the hotel.

5. We recommend taking out travel cancel insurance upon reservation. We would be pleased to provide the proper transfer forms. You can take out travel cancelation insurance at the website: www.hansemerkur.de.

6. The rooms will be made available to the guest on the arrival day from 2:00 p.m. and until 11:00 a.m. on the day of departure. Provided that no later arrival time is agreed upon, the hotel reserves the right to reassign reserved rooms after 6:00 p.m.. Arrivals after 10:00 p.m. require the explicit approval of the hotel.  Admission to the hotel is not guaranteed after 10:00 p.m..

7. If a certain room is not available as a result of a double booking, the hotel reserves the right to make another equivalent room available.

8. Reservations which do not include half board do not automatically include a table reservation in our restaurant. We kindly ask you to reserve a table in good time at the reception desk.

9. Vouchers are valid for the calendar year. Vouchers that include a service description are valid for the amount that was fixed at the time of issue. Any differences will be charged to the guest.

10. The hotel reserves the right on organizational grounds to limit the number of persons according to the event room.

11. To ensure an orderly procedure for group reservations (from 5 people), the service purchaser is required to supply the hotel with a list of participants at least seven days before arrival.

12. The hotel reserves the right at the time of booking or thereafter, in consideration of the statutory conditions for package tours, to demand a reasonable advance payment of deposit. The amount of the deposit and the terms of payment can be agreed in writing in the contract.

13. Change in number of participants and the event time

a) The hotel must be informed of a change in the number of participants at least five work days before the beginning of the event. The hotel's explicit written agreement is required, otherwise the reserved number of place settings will be charged.

b) In the event of an increase in the number of participants, the real number of participants will be subject to price calculation.

c) By changes in the number of participants, the hotel reserves the right to recalculate the prices and to reassign the confirmed rooms within reason.

d) If the agreed start and end times of the event are changed and the hotel agrees to these changes, then the hotel is entitled to make a reasonable charge for the additional services provided as a result, unless the hotel is responsible for the changes in question.

14. Consuming food and drinks that have been brought into the hotel is not allowed.

15. The balance is payable upon departure. For a stay of longer than two weeks, the hotel is entitled to demand partial payment for the retrospective period after two weeks.

16. On the agreed date of departure, the rooms shall be vacated and made available to the hotel by no later than 11:00 a.m..  Thereafter, the hotel may charge 50% of the full accommodation charge for use of the room up to 2:00 p.m. despite contractual agreements, 100% after 2:00 p.m..  Contractual claims of the customer shall not be established hereby. The customer is at liberty to show the hotel that it incurred no or much lesser claim to damages.

17. The hotel accepts no liability for any damage or bodily harm except in cases of intent and of gross negligence on the part of the hotel.

18. If the reserved service is not available, the hotel reserves the right to dissolve the guest accommodation contract. In this case, the guest shall be informed about this immediately and any sums already paid shall be refunded.  The compensation of further costs is excluded.

19. Dogs in the Hotel

Dogs are allowed at the hotel. The number and size of the dogs should be indicated at the time of reservation. On grounds of hygiene, it is not allowed to bring dogs to the breakfast room. We will be happy to provide you with a table in the hotel hall.

20. Protection of non-smokers

We ask you to comply with the statutory regulations. The hotel has no explicit rooms for smokers.

21. Additional rules for conferences and seminars

Reserved event rooms are only available to the guest for the time which was agreed upon in writing. A claim to the event rooms outside of the agreed upon times requires the prior consent of the hotel.

22. Additional rules for travel agencies

Travel agency commissions are paid only for the accommodation part of the booking.

23. The old price list is automatically rendered invalid when a new price list is published.

24. Place of performance and payment is the location of the hotel’s registered office.

25. Should individual provisions of these General Terms and Conditions for Hotel Accommodation be or become invalid or void, the validity of the remaining provisions shall remain unaffected thereby. The statutory provisions shall also be applicable.Â
